Your professional fee, field team, and reserve are fixed for the agreed scope. They never move with what suppliers charge, so CDV has no reason to put you somewhere more expensive: we do not make a cent more when you book the pricier venue.

Why our fee is a bigger number, and why that protects you

A low headline fee usually means one of two things. Either it covers planning and sourcing only, and you still self-manage the program: the venue, the food, the on-site logistics, with no operator on the ground and no measurement. Or the firm is paid by the hotel instead of by you, a room-night commission (commonly 7 to 10 percent) that quietly rewards booking you somewhere pricier. Across the industry, the total cost of distribution and customer acquisition built into hotel rates runs 15 to 25 percent of what guests pay, and none of it shows up on your invoice. CDV is neither model. Our fee is our only compensation, disclosed in full and fixed for the agreed scope, and it buys an operator that runs the entire program on the ground and measures the outcome. Every cost is visible and every cost is real. Accommodation, food and beverage, A/V, transportation, experiences... all of it passed through at actual cost with no markup, no hidden commissions, no rebates we pocket on the side. Our fee is stated separately, from the first proposal to the final reconciliation, and it never moves based on what the suppliers charge. We have no incentive to recommend the more expensive venue, because we don't make a cent more when you book it. Ask to see the books. We mean it.

Guest international airfare is excluded unless you'd like us to manage it as a pass-through at cost. Travel insurance is yours to arrange, or we'll handle it the same way. Also available at actual supplier cost, with our fee unchanged and a written change order: company swag, trip video, major AV and staging, outside speakers, and pre- or post-trip extensions.

At that level a standard DMC or incentive-house program buys a comfortable, brand-name hotel and a polished itinerary anyone can book: group transfers, banquet dinners, catalog excursions, and a post-trip NPS score. It does not buy private access, the immersive meals that are the centerpiece of every CDV day (a small winery cellar, a private villa, a table only locals know), one team on the ground from first call to final report, measurement from baseline through 18 months, or a guarantee. That is the difference, and it is not in the nightly rate.

The estimate is a real planning anchor

The ranges shown here are built on the same internal pricing engine CDV uses to build every proposal. They are not marketing numbers inflated to get you on a call. From estimate to final proposal, the number will not move significantly unless your scope changes materially (different venue tier, larger group, additional days).

The proposal locks in scope and price

Your proposal includes: the specific program design (destination, property type, activity structure, daily schedule outline), a locked all-in price for the agreed scope, the Meridian measurement plan with the specific outcome we will baseline and track, and the Proof Guarantee terms. This is the document your finance team can sign off on.

Price does not change when supplier costs change

CDV's pricing model is fixed for the agreed scope. Normal supplier cost variance (plus or minus 5%) is absorbed by CDV, not passed to the client. CDV has no financial incentive to recommend a more expensive venue because our fee is fixed regardless of what suppliers charge. Client-initiated scope changes (venue upgrade, additional guests, added experiences) are priced at actual supplier cost via written change order, with no CDV markup.
